AI Capture Manager

AI Capture Manager

Controlled, collaborative AI—where approved strategy, evidence and human judgement shape every response, while strengthening rather than replacing the proven processes winning bid teams rely on.

Experienced business development professionals know that a winning proposal is not created simply by asking ChatGPT or Claude to search a document library and produce pages of polished text. Strong bids emerge from a disciplined, coordinated process that brings together strategy, evidence, subject-matter expertise and informed decision-making.

Senior leaders must be engaged. Subject-matter experts must validate the solution. Suppliers and partners may need to approve important claims, dependencies and commitments. Win strategies, win themes and defensive themes must be agreed before they shape the response. Competitors must be assessed honestly, because understanding their likely strengths and weaknesses is essential to positioning our own offer effectively.

These disciplines have been refined over decades because they work. They should not be bypassed in the pursuit of faster drafting.

AI Capture Manager brings AI into the capture process, not around it. It uses AI to accelerate analysis, research, strategy development, evidence mapping and drafting while keeping people firmly in control. AI-generated outputs are reviewed, challenged, refined and approved before they become authoritative or flow into the next stage of the bid.

This structured, stage-gated approach helps teams maintain consistent messaging, trace claims back to approved evidence, control commitments and reduce the risk of unsupported or invented content. The result is not simply faster writing, but a more coordinated, defensible and strategically aligned bid process.

Built for the real capture lifecycle

AI Capture Manager supports the journey from competitive positioning through to strategy development, storyboarding and final proposal drafting.

With human review and approval built into every stage, bid teams can:

  • Build and maintain a reusable organisational library of approved source material, evidence and factual claims.
  • Upload and analyse client-issued tender documents for each opportunity.
  • add bid-specific competitor intelligence from internal files, public sources and expert input.
  • Assess likely competitors against the tender’s evaluation criteria and customer priorities.
  • Evaluate our own organisation against the same criteria to identify genuine strengths, weaknesses and gaps.
  • Generate competitive radar charts that show how our position compares with each likely competitor.
  • Identify discriminators, vulnerabilities, risk areas and strategic opportunities for bid-team review.
  • Produce a detailed Black Team competitive analysis report in Microsoft Word for refinement, approval and wider stakeholder consultation.
  • Use approved Black Team findings to develop win themes, defensive themes, feature–benefit–proof sound bites and ghosting statements.
  • Produce a detailed Blue Team strategy report in Microsoft Word, providing a clear basis for organisational approval of the proposed bid strategy.
  • Map approved strategy to the response structure required by the tender, showing exactly where each theme, message, fact and item of evidence must appear.
  • Generate Pink Team storyboards for every response document, setting out planned content, key messages, evidence requirements, responsibilities and information gaps.
  • Draft Red Team response documents from approved strategy, sound bites, factual snippets, storyboards and organisational source material.

AI can complete much of the underlying analysis, comparison, mapping and drafting far faster than traditional manual methods. The review gates ensure that speed does not come at the expense of control.

Each stage is grounded in the approved outputs of the stage before it. By the time the proposal reaches Gold Team, reviewers are not trying to repair uncontrolled AI-generated content. They are refining a response built from approved strategy, approved evidence, approved messaging and informed human judgement.

AI where it helps. Human control where it matters.

AI Capture Manager is not a shortcut around capture discipline.

It is a structured system for applying AI to the work that slows bid teams down: reading tender documents, extracting requirements, assessing competitors, identifying vulnerabilities, building themes, mapping messages and drafting response material.

At every stage, AI-generated material is quarantined from operational bid data until it is reviewed and promoted by an authorised human user.

Access is protected by Caspio Directory authentication with two-factor authentication, using an authenticator app such as Microsoft Authenticator. AI workflows are handled through Caspio’s AI-Powered GPT Connect and API-based OpenAI integrations, rather than uncontrolled copy-and-paste prompting.

The application is built on Caspio, a low-code platform used by organisations around the world. The application safeguards include encryption in transit and at rest, role-based access, record-level security, and two-factor authentication. Caspio specifies that it is SOC 2 Type II certified and runs on AWS with ISO 27001 standards.

The result is a faster, more consistent and more transparent capture process — while preserving the auditable governance, review gates and stakeholder approvals that complex bids demand.
