AI Capture Manager

We all want to introduce AI, but …

Large Bids and Proposals require a rigorous process

AI Capture Manager brings disciplined, AI-assisted capture and proposal management to complex bids – without replacing the proven processes that winning bid teams already rely on.

Experienced Business Development professionals know that preparing a winning proposal is not as simple as asking Claude or ChatGPT to search a document library and generate pages of polished text.

Successful bids require a coordinated effort across the organisation. Senior managers must be engaged. Subject Matter Experts must be consulted. Suppliers and partners often need to approve every word. Win strategies, win themes and defensive themes must be agreed by stakeholders before they shape the proposal. Competitors must be assessed honestly, because their strengths and weaknesses determine how our own offer should be positioned.

These processes have been refined over decades for a reason. They should not be discarded.

AI Capture Manager strengthens and accelerates the traditional capture process by injecting AI into each stage of bid development, while keeping humans firmly in control. AI-generated outputs are reviewed, redirected, refined and approved before they are logged and used in the next phase of the bid. This structured stage-gate approach reduces AI hallucination and prevents uncontrolled messaging and unsupported claims.

Built for the real capture lifecycle

AI Capture Manager supports the full journey from opportunity assessment through to final drafting.

It allows bid teams to:

  • Create and manage an organisational library of approved source material for use across bids and proposals.
  • Upload client-issued tender documents for a specific Request for Tender.
  • Upload bid-specific competitor intelligence and nominate the competitors the model should assess.
  • Evaluate likely competitors against the tender assessment criteria, with human review and approval.
  • Evaluate our own organisation against the same criteria, again subject to human review and approval.
  • Generate competitive radar charts comparing ourselves and our competitors against each assessment criterion.
  • Identify key discriminators, vulnerabilities and risk areas for the bid team to review and approve.
  • Draft a detailed Black Team competitive analysis report in Microsoft Word for bid-team finalisation and wider stakeholder approval.
  • Use approved Black Team outputs and the organisational library to develop win themes, defensive themes, feature-benefit-proof sound bites and ghosting statements.
  • Draft a detailed Blue Team strategy report in Microsoft Word for finalisation and approval.
  • Map approved Blue Team strategy to the response structure required by the RFT, identifying exactly which themes, facts and evidence must appear in each section of the proposal.
  • Generate Pink Team storyboards for every response document, showing the planned content, key messages, evidence requirements and missing information.
  • Draft Red Team response documents using only approved storyboards, sound bites, factual snippets and organisational source material.

The AI-assisted analysis and drafting work can be completed far faster than traditional manual preparation. The review gates then ensure that, by the time the proposal reaches Gold Team, the bid team is no longer relying on uncontrolled AI output. They are refining a proposal built from approved strategy, approved evidence and approved messaging.

AI where it helps. Human control where it matters.

AI Capture Manager is not a shortcut around capture discipline. It is a structured system for applying AI to the work that slows bid teams down: reading tender documents, extracting requirements, assessing competitors, identifying vulnerabilities, building themes, mapping messages and drafting response material.

At every stage, AI-generated material is quarantined from operational bid data until it is reviewed and promoted by an authorised human user.

Access is protected by Caspio Directory authentication with two-factor authentication, using an authenticator app such as Microsoft Authenticator. AI workflows are handled through Caspio’s AI-Powered GPT Connect and API-based OpenAI integrations, rather than uncontrolled copy-and-paste prompting.

The application is built on Caspio, a low-code platform used by organisations around the world. The application safeguards include encryption in transit and at rest, role-based access, record-level security, and two-factor authentication. Caspio specifies that it is SOC 2 Type II certified and runs on AWS with ISO 27001 standards.

The result is a faster, more consistent and more transparent capture process — while preserving the auditable governance, review gates and stakeholder approvals that complex bids demand.
